As part of our ongoing mission to provide the best employment screening services anywhere, we are adding an enhanced security level for our e-mailed reports. We investigated many encryption software programs. A program called ZixMail appears to be best suited for our purposes. ZixMail is a encryption program designed especially for e-mail users sending to people who may not have decryption software on their computers.

Starting on October 1, 2002, all e-mailed reports will be sent using the ZixMail Encryption program. When you receive your first encrypted e-mail, you will be required to go through a few steps to get a password set-up with ZixMail in order to open your reports. This process should not take more than about 1 minute. Below are the instructions on how to walk through this process.

1. You will receive an e-mail from the ESS Report Processor. In the body of the e-mail you will be told you have a ZixMail Secure Message from that processor. You will also be given a link to click on to set-up your password to open the report.

2. When you click on the link, your Internet browser will open and you will be taken to the ZixMail Password Creation page. Please type in the password you wish to use when receiving e-mail reports from us. You will be required to enter this password twice. After entering your password, click on the Submit button.

3. Your password will now be registered with ZixMail and it will remember that you have this password in the future.

4. When the password page closes, you will be at a ZixMail screen which has the text message of our e-mail and the attached report. From here, it is very simple to receive your report.

A. Click on the Download button.
B. A screen will now open which gives you the option to Save the file to your hard drive or Open the file. We suggest you have a directory on your hard drive to put these files in. Click on Save.
C. You will then be asked where you want to save the report. Choose the proper directory you want the report saved in. You can also change the name of the file at this time to anything you wish. DO NOT change the file type or you will not be able to open the report.
D. When the file has been downloaded, which should only take a few seconds, you will be given the option to Open the file or Close the screen. Clicking on Open will open your SnapshotViewer program and you will see your report. Closing the screen will take you back to the original report download screen. You can either close this screen or press Reply to send a secure message back to the ESS Report Processor who sent the report to you. The other options of Forward, Delete and Compose are not usable to you unless you have a full ZixMail program installed on your computer.
E. You can now go to the directory in which you saved the ESS Report and double click on the report to open it in SnapshotViewer.

If you wish to use the complete ZixMail program, you can click on Support and you will be taken to their website. You can download a 30 day trial version of the program.

Although these instructions make it sound involved, it is a very simple process and only takes a short time to install.
