Updated IRAS

By all accounts the latest release of the ESS Internet Report Access System (IRAS) has been a huge success. In May we launched the first phase of our new and improved IRAS.

The updated system is redesigned and streamlined. All the previous functions are still available but they are easier and faster to use. And the system now has full Adobe Acrobat capabilities.

We are currently working on the second phase of the program that will include an on-line employment application for your applicants to fill out. It will have the look and feel of your company’s website to give your hiring packet impact. There will also be an application / hiring management program built in to help track your entire hiring process.

If you are not currently using the Internet Report Access System and would like to learn more about it, please contact Christie at 800-473-7778 x104 or Christie@employscreen.com.

Credit Bureau Certifications

Most of our clients interested in utilizing credit or ID reports have already completed the “credit certification” process as mandated by the credit bureau industry. For those who have not been through the process but would like to be able to order credit reports please read on.

All companies wishing to order credit reports for employment purposes must now be “certified” by the credit bureaus. This is a preventative measure by the credit bureaus and is the result of some major database break-ins related to credit reports and the resulting ID theft problems that occurred.

The certification process is actually quite easy. There is a form to complete and some simple proof of business documentation to gather. After you have faxed us the paperwork we contact an authorized representative of the bureaus to schedule an onsite verification of your office location. It only takes about fifteen minutes. Essentially, they want to confirm the legitimacy of your business and make sure records are kept safe and secure. The bureau representative charges a $65 fee to complete the approval process. To simplify things we invoice you and then reimburse the bureau’s onsite verification company.

All screening companies are required to certify their clients that received credit or ID reports. It is part of every credit bureau contract. We’ve heard some screening companies are claiming they don’t have to do this. They are “playing with fire”. The credit bureaus have made it very clear that any screening company caught avoiding this process will have their contracts voided. They will not be allowed to order credit reports ever again.

If you want to be credit certified please contact us and we’ll send you the necessary paperwork. If your current order form lists packages that include a credit report or ID report and you don’t feel the need for them or don’t want to go through the certification process, we can provide you with an alternate order form that contains packages without those items.

ESS Now Provides Access to the Commercial Driver's License Information System (CDLIS)
ESS now provides access to the Commercial Driver’s License Information System. The CDLIS allows employers of interstate commercial drivers to comply with FMCSA requirements ( § 391.21-391.27), by searching within the "Commercial Driver's License Information System" for the current CDL and up to three prior licenses held by the driver. Commercial motor carriers are required to check the driving history of a driver applicant in each state where the driver has been licensed in the past three years. The CDLIS does not provide a driving history itself, but it allows the employer to independently confirm where the driver has been licensed in the last three years. And it provides the necessary data to order Motor Vehicle reports from those states.

CDLIS provides the following information:
  • Present Jurisdictional State and Driver’s License Number
  • Name
  • DOB
  • Social Security Number Match Up to Three Previously held CDL Numbers
  • AKA Information

Mandated by the Commercial Motor Vehicle Safety Act (CMVSA) of 1986, CDLIS supports the issuance of commercial driver licenses (CDLs) by the jurisdictions and assists jurisdictions in meeting the goals of the basic tenet "that each driver, nationwide, have only one driver’s license and one record" through the cooperative exchange of commercial driver information between jurisdictions.

The cost for the CDLIS Search is $10.00

For more information and to start ordering the CDLIS Search on your
drivers, please contact John Beaudette at JohnB@employscreen.com or call
him at 800-472-7778 x101.

I-9 Compliance Coming Soon

ESS will soon offer an accurate, secure and easy to use paperless on-line I-9 “Right to Work” compliance system. It will allow you to generate an electronic error-detecting I-9 form that eliminates processing mistakes and simplifies the document completion process. The form is electronically stored and can be retrieved anytime for updating, re-verification or government inspection. You will receive automatic 90, 60 and 30 day alerts prior to the expiration of an employee’s work authorization … enabling him/her to renew their work status and avoid any disruption of employment. You will also be able to electronically attach related I-9 documents to an employee’s e-stored I-9 form. And did we
mention it’s paperless!

An additional service (that can be combined with the Form I-9 or used separately) is our I-9 Employment “Right to Work” Verification. You will be able to confirm a newly hired employee’s eligibility to work by electronically verifying the accuracy of the Social Security Number, the Alien Registration “A” Number or the I-94 “Admission” Number directly through the Social Security Administration and the Department of Homeland Security.

The ESS I-9 Compliance program will:

  • Save your staff time

  • Reduce your storage, retrieval and labor costs

  • Streamline your I-9 administration

  • Significantly reduce your risk of non-compliance

  • Help ensure your workforce stability

We’re very excited about this new program. We think it it will be of great benefit to you. Stay tuned for further announcements.
